We have
compiled a list of questions and answers that we get asked repeatedly by new clients and

I
don’t bill hourly, so this probably isn’t for me, right?
We can bill any way you
need us to. We can set up each individual matter for each client to bill hourly, flat fee, on
contingency, interim bases, costs only, min/max etc…. Essentially, anyway you can think
of to bill a client we feel very confident that we can meet your needs.
If I only do court appointments, can you still do my
billing?
We can bill state and federal court appointments as well as ADC cases
according to the billing requirements of the agency processing the bill. We are very
familiar with the rate and cost schedules.
Am I
too small for a billing service?
We bill for sole practitioners and proprietors of
all sizes. You need to ask yourself two questions: “Am I spending billable hours on my
statements when I could be billing a client,” and “Am I spending time outside of work
(evenings, weekends etc…) doing my billing when I could be enjoying my family, hobbies or
other activities that are not work related?” If you answered yes to either of these questions,
then you should investigate this solution further. It is well worth the time it will save you
both in and out of the office.
Is our firm too big
for a billing service?
While this could be the case for some firms, we always
encourage you to look at the outsourcing model. One of the biggest advantages of sending the
billing out is you can control your costs. You don’t have to pay employee overhead such as
healthcare, unemployment, social security, retirement and other benefits to BillingLogic. You
also don’t want to pay a staff member to run the billing when they could be billing a client
and we see this happen frequently as firms and companies grow rapidly.
Outsourcing can
limit your costs on office equipment like high-speed industrial printers, software, computers,
paper and office space. Essentially, you are only paying us for the time and materials it
takes to run your billing.
Finally, consider that by sending your billing to us,
you gain a champion for the monthly billing. Instead of nobody in the office really
owning the billing process, you now have an entire company dedicated to getting your bills out
in a timely manner every single month.
How do I
get my billing materials to you?
Depending on the medium and your location, you can
have us pick it up via courier, mail it to us, ship it via Fed Ex or UPS or send it
electronically. We can schedule these services for you or you can manage them yourself.
How do I get my billing materials back?
At the end of your billing cycle, we will send
your monthly reports and your statement copies in pdf format via email. If you would
like your paper materials back or your draft bills back we can mail them to you for a small
fee plus postage.
How do I receive
payments?
All payments made by your clients will come directly to you. When we send
out your statements, we include a return envelope with your name and address printed on the
front. Further, the bills are sent in windowed envelopes with your name and address on
the front. In short, your clients never know the bills are coming from us and we never
touch your money.
Do you handle billing issues and disputes with my clients?
No, we provide
you with copies of the statements each month so that you see exactly what the client sees and
you or your staff can deal with them individually. We never have any contact with your
clients.
Is your software compatible with any
other billing software?
Yes, we do have some compatibility with other billing and
timekeeping software. Please contact us for specific details.
Shouldn’t my billing and bookkeeping be handled out of the same
system or software?
We don’t think so. There is no reason to tie your billing and
books together, and in fact we have yet to find a piece of affordable software that can do
both functions very well. We provide you with the reports that you need to keep your books up
to date each month and really it is just four or five figures including, costs incurred, fees
billed, cost payments received, fee payments received and trust transfers. With these figures,
you should be able to keep your books and billing in synch each and every month.
Consider also that having this information in two places provides a means of checks and
balances. If you have a discrepancy between the billing and the books, you know that you may
have an error recorded and you can easily identify it before it gets buried under months and
months of data.
Lastly, having your billing and books separate keeps you from having a
single point of failure for this critical data. We maintain your billing data in triplicate:
two working copies and a month-by-month back up. The data is maintained at our office so
if you were to have a computer failure, theft or some other catastrophe, we could provide the
billing data to help you reconstruct the income and client cost side of your books. We
back up our data to a secure, cloud-based backup service in case we have any failures in our
office.
